Who we are

Tailworks provides websites, online booking systems and related business infrastructure for dog grooming businesses.

For personal information collected directly for our own business purposes — for example when you contact us, enquire about Tailworks or become a Tailworks customer — Tailworks is normally the data controller.

Our lawful bases for using personal information

UK data protection law requires us to have an appropriate lawful basis for each purpose for which we use personal information.

Purpose Typical lawful basis
Responding to enquiries Handling questions from prospective customers or business contacts. Legitimate interests and, where relevant, steps requested before entering into a contract.
Providing Tailworks Onboarding, building, maintaining and supporting services. Performance of a contract or taking steps at your request before entering into a contract.
Business administration Record keeping, service improvement, security and ordinary business operations. Legitimate interests, provided those interests are not overridden by your rights and interests.
Legal and financial records Tax, accounting and regulatory compliance. Legal obligation and, where applicable, legitimate interests.
Optional marketing or technologies Where consent is required for a particular activity. Consent, or another lawful basis where applicable and permitted by law.

The appropriate lawful basis can vary depending on the specific circumstances. Where we rely on legitimate interests, we consider our interests against the impact on the individuals concerned.

05

Information belonging to our grooming customers and their clients

Tailworks customers may use websites, booking systems and other services that involve personal information about their own customers.

Where a grooming business decides why and how its clients' information is collected and used, that grooming business will normally be responsible for that processing as the controller.

Where Tailworks processes that personal information solely on the grooming business's instructions in order to provide a service, Tailworks may act as a processor or use another service provider acting as a processor or sub-processor, as appropriate.

Groomers remain responsible for their own privacy obligations

A Tailworks customer should ensure that its own clients receive appropriate privacy information about how that grooming business uses their personal information.

06

Who we may share personal information with

We do not sell personal information.

We may provide personal information to carefully selected service providers where this is necessary to operate Tailworks. These can include providers of:

  • Website and funnel infrastructure.
  • Website hosting and technical services.
  • Online booking and appointment infrastructure.
  • Payment processing.
  • Email and communications.
  • Cloud storage and business administration.
  • Analytics or website measurement tools where enabled.
  • Professional advice, including accounting, legal or compliance support.

Our current technology stack may include services such as Systeme.io for website/business infrastructure, Trafft for booking infrastructure, Stripe for payment processing, and Microsoft-based email services. The exact providers used may change as Tailworks develops.

We may also disclose personal information where required by law, regulation, court order or another valid legal requirement, or where necessary to protect legal rights or prevent fraud or misuse.

07

Payments

Payments may be processed using a specialist payment provider such as Stripe. Payment providers process payment information under their own security and privacy arrangements.

Tailworks generally does not need to receive or store your full payment card number. We may receive transaction information such as payment status, amount, billing details, transaction identifiers and subscription information where necessary to administer your Tailworks account.

08

Cookies and similar technologies

Our website may use cookies or similar storage and access technologies for purposes such as operating the website, remembering preferences, maintaining security, measuring website performance and, where enabled, analytics.

Where consent or another choice is required by law, we aim to provide an appropriate mechanism before using the relevant technology.

More information about the technologies used on this website and the choices available to you can be found in our Cookie Policy.

09

International transfers

Some technology and service providers used by online businesses operate or store information outside the UK.

Where personal information is transferred from the UK to a separate organisation in another country and UK data protection transfer rules apply, we take steps intended to ensure that an appropriate lawful transfer mechanism is available.

Depending on the circumstances, this may include reliance on UK adequacy regulations, approved contractual safeguards or another permitted mechanism.

10

How long we keep personal information

We do not aim to keep personal information for longer than is reasonably necessary for the purpose for which it was collected.

Retention periods vary depending on the information and our relationship with you. We may consider:

  • Whether you are an active customer.
  • Whether information is needed to provide or support a service.
  • The need to retain business and financial records.
  • Legal, tax or accounting requirements.
  • The limitation periods applicable to possible legal claims.
  • Security, fraud prevention and dispute resolution needs.

When personal information is no longer required, we aim to delete, anonymise or otherwise dispose of it appropriately.

11

How we protect personal information

We use reasonable technical and organisational measures intended to protect personal information against unauthorised access, alteration, loss, disclosure or misuse.

These measures can include access controls, reputable service providers, secure account practices, encryption where provided by our platforms, appropriate backups and limiting access to information where reasonably possible.

No online system can be guaranteed to be completely secure, so we encourage customers not to send passwords, full card details or other unnecessarily sensitive information through ordinary contact forms or email.

12

Marketing communications

Tailworks may occasionally communicate with prospective or existing customers about relevant Tailworks services, information or updates where permitted by law.

Where consent is required, we will seek it. Where another lawful basis applies, we will still respect applicable direct marketing rules and your right to object.

You can ask us to stop sending direct marketing communications at any time by using an unsubscribe option where provided or by contacting hello@tailworks.co.uk.

Service communications that are necessary to operate an account or fulfil our contract with you are different from optional marketing messages.

13

Depending on the circumstances and applicable law, you may have rights in relation to your personal information, including the right to:

  • Ask for access to personal information we hold about you.
  • Ask us to correct inaccurate or incomplete information.

To exercise a right, contact us at hello@tailworks.co.uk. We may need to verify your identity before acting on a request.

14

Questions or complaints

If you have a concern about how Tailworks has handled your personal information, please contact us first so that we have an opportunity to investigate and respond.

You also have the right to raise a concern with the UK's data protection regulator, the Information Commissioner's Office (ICO).

Information Commissioner's Office

You can find current information about contacting the ICO at ico.org.uk .

15

Children's information

Tailworks is a business-to-business service and is not intended to be used directly by children.

We do not knowingly seek to collect personal information from children through the Tailworks marketing website. If you believe a child has provided information to Tailworks directly in error, please contact us.

16

Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to Tailworks, our technology, legal requirements or the way we handle personal information.

When we make changes, we will update the date shown at the top of this page. Where a change is particularly important, we may also provide additional notice where appropriate.
